AI Stack Audit + Workflow Sprint · Fixed Fee

Stop paying for AI.
Start getting one thing from it.

Your team has ChatGPT seats, Copilot licenses, and AI features baked into half your SaaS bill. In 10 days, we map exactly what you're paying for, cut the overlap, and implement one workflow that actually moves a number you care about.

Sound familiar?

The AI spend is real. The results are a shrug.

When AI subscriptions, embedded features, and one-off pilots accumulate without a clear owner, it gets hard to say what the stack costs or what changed because of it.

01

Tool sprawl. ChatGPT Team here, Copilot there, Jasper for marketing, plus "AI-powered" features quietly toggled on inside your CRM, help desk, and project tools.

02

Nobody owns it. No one on the team can say what the total AI spend is, who's using which seat, or which subscriptions overlap.

03

Shadow usage. Employees paste client data into free personal accounts because the sanctioned tool doesn't fit how they actually work.

04

Pilot purgatory. You've "experimented with AI" for a year. The experiments never became a process anyone runs on a Tuesday.

05

No measurable win. Ask "what has AI actually improved here?" and the honest answer is a vague "people like it for emails."

06

Renewal anxiety. Contracts auto-renew and seats get added, but nobody has checked whether the spend is earning its keep.

The fix isn't another tool. It's an operator sitting down with your stack, your invoices, and your team — and finishing one thing end-to-end.

What You Get

Five deliverables. Zero fluff.

Everything is a document your team keeps or a workflow your team runs — nothing lives in our heads or requires us to stick around.

1

AI Stack Inventory & Spend Map

Every AI tool, seat, and embedded SaaS AI feature you're paying for — direct and buried in bundles — with monthly cost, actual usage, and who owns each line item.

2

Overlap & Shadow-Usage Cleanup Plan

A prioritized cut list: redundant subscriptions to cancel, seats to reassign, and a plain-English policy that brings unsanctioned personal-account usage back inside the fence.

3

One Workflow, Implemented

Not a recommendation — a build. We pick the highest-leverage workflow with you, implement it end-to-end during the sprint, and test it with the people who'll run it.

4

SOP + Named Owner Handoff

A written standard operating procedure and a named person on your team who owns the workflow going forward. If it breaks, they know how to fix it — without calling us.

5

30 Days of Post-Sprint Support

Questions, tweaks, and fixes for a full month after handoff, included in the fixed fee. Enough runway for the workflow to survive contact with a real month of work.

Want to see the report format?

We share a sample audit-report outline on the fit call so you know exactly what lands on your desk on day 10 — before you spend a dollar.

The Sprint

Ten business days, four phases.

Fixed scope and a real deadline. Your team's total time commitment is a handful of interviews and one working session.

Days 1–3

Audit

We pull invoices, admin panels, and usage data, and interview the people doing the work. Output: the complete stack inventory and spend map, including the AI features hiding inside tools you already pay for.

Days 4–5

Decide

One working session with you. We walk the cut list, agree on what gets cancelled or consolidated, and pick the single workflow to implement — chosen for measurable impact, not novelty.

Days 6–9

Build

We implement the workflow end-to-end with the tools you already own wherever possible. Real data, real edge cases, tested by the people who'll actually run it.

Day 10

Handoff

SOP delivered, owner trained, cleanup plan finalized with dollar figures attached. Then 30 days of support while the workflow beds in.

We don't do social proof theater. We'd rather show you the actual work product. This is the structure of the audit report every sprint produces — ask for the full outline on your fit call.

Fit Check

This works when the shoe fits.

A good fit if you're…

  • An ops lead, GM, COO, or founder at a 20–200 person company — agency, professional services, e-commerce, or logistics.
  • Already paying for multiple AI tools and honest enough to admit you can't name the ROI.
  • Able to give us invoice access and a few hours of team interviews during the sprint.
  • Looking for one finished workflow, not an "AI transformation journey."

Not a fit if you're…

  • Shopping for someone to build a custom AI product or train models — that's a different engagement entirely.
  • Under 20 people with one or two subscriptions — you can likely do this audit yourself in an afternoon.
  • Wanting a strategy deck without implementation. We only sell the version where something gets built.
  • Hoping to replace headcount with AI by Friday. We don't make that promise, and neither should anyone else.
FAQ

Fair questions, straight answers.

Is this just a consultant telling us to "use AI more"?

No. The work starts by checking whether existing spend is useful, redundant, or idle. The deliverable that matters is a working workflow with an SOP and an owner, not a recommendation slide. If we can't build it during the sprint, we don't count it.

Which workflow do you implement?

We pick it together on days 4–5, after the audit. Selection criteria: it touches a number you already track (hours, response time, error rate, cost), it can be finished within the sprint, and someone on your team can own it afterward. Common candidates: intake and triage, reporting prep, quote/proposal drafting, order or ticket routing, and recurring data entry between systems.

Do we need to buy new tools?

Not by default. We start with what you already pay for. If a small new tool genuinely beats the incumbents, we'll show the tradeoff before anything is added. We take no referral fees and have no reseller relationships.

How much of our team's time does this take?

Plan for roughly 4–6 hours total across the 10 days: a kickoff, short interviews with 3–6 team members, one decision session, and a handoff. We do the digging; you make the calls.

What happens after the 30 days of support?

You own everything — the report, the workflow, the SOP. There's no retainer pitch waiting at the end. If you want a second sprint later, we'll do another fixed-scope engagement, but the deliverables are designed so you never need us again.

How do you handle our data?

Access scope and data-handling rules are agreed before work begins. We work under access you grant and revoke, and we do not move your data into tools you have not approved. The review includes a check for unsanctioned personal-account usage.

Why a fixed fee?

Because hourly billing rewards slow work and open-ended scope. A fixed fee with a fixed deadline keeps the incentive where it belongs: finish the thing.

Next Step

20 minutes. We'll tell you if it's not a fit.

The fit call is a real qualification call, not a sales script. Bring your rough tool list; we'll tell you on the spot whether a sprint is worth $3,500 for your situation — and if it isn't, we'll say so.
